Administrative Assistant opportunity supporting Melanoma & Skin Center and Mohs Surgery departments.  The ideal candidate must have a high school diploma or equivalent and at least four years of administrative/secretarial experience.

Preferred candidates will be proficient in Microsoft Office applications, including PowerPoint, Word, and Excel, and have prior administrative support experience. Experience with ordering supplies through SciQuest, PeopleSoft, or Today’s Business Solutions is preferred and considered a strong asset.

Success in this role requires the ability to manage multiple priorities, work independently and collaboratively, and deliver high-quality results in a fast-paced environment.

Work Location: Must be willing to travel between the TMC Campus and Life Science Plaza (LSP) 

Salary: $41,000 minimum $51,000 midpoint $61,000 maximum

JOB SPECIFIC COMPETENCIES

Provides Administrative Support  Provides administrative support to the Clinical Administrative Director, management team, and staff of the Center, including meeting planning, telephone lists, copying, travel and expense report management, filing, correspondence, catering requests, room scheduling, check requests, and other supportive tasks.  Develop tools to assist staff perform their duties in an efficient manner. Uses independent judgment and complex analysis to gather facts and determine appropriate solutions to issues.

Coordination of services Coordinates administrative activities for the department including processing confidential paperwork, maintaining Human Resource records: new employee orientation, performance appraisals, compliance and safety records, employee rewards and recognition and job information.  Develops and determines priorities and monitors status of special projects including meetings, employee recognition and conferences. Functions as the human resources coordinator for the Center, including processing and tracking confidential paperwork, maintaining records, performance appraisals and job information.  Coordinates all recruitments for the Center, including posting job openings, maintaining interview files, screening resumes, and tracking pending candidates.  Coordinates new employee set-up and orientation in a timely manner.  

Inventory and supply management  Manages and coordinates functions including maintenance of physical plant, physical inventory, medical and office supplies and space planning.  

Accounting Documentation  Knowledgeable of and initiates the development of accounting documentation. Utilizes appropriate institutional systems for data entry, tracking, etc. Responsible for document preparation and on-line entry in accounting and/or purchasing system.

Procurement Compliance  Complies with Center standards regarding fiscal management. Knowledgeable of institutional standards regarding procurement. Ensures that purchases are within prescribed delegation of dollar limits. Procures goods and services for the center. Supports center in the formulation of purchase orders/requests by identifying prospective suppliers, determining availability of goods and budget pricing. Processes requisition and coordinate the receiving of goods by interfacing with the receiving facility and expedite the delivery of goods. Demonstrates working knowledge of and possesses the ability to provide direction to others relating to issues, guidelines and procedures established by the institutional Procurement Services

EDUCATION
Required: High school diploma or equivalent.  
Preferred: Bachelor’s degree

EXPERIENCE
Required: Four years of administrative/secretarial experience. With preferred degree, no experience required.
