The department of Dermatology is looking for an Administrative Director!

The ideal candidate for this role brings a strong finance background with proven expertise in complex financial forecasting, budgeting, and the management of PRS and multi-source funding portfolios. They possess exceptional analytical capabilities, enabling them to develop data-driven financial models, conduct variance analysis, and deliver actionable insights that guide strategic decision-making. This individual demonstrates a deep understanding of both operating and non-operating budgets, ensuring compliance while optimizing resource allocation. In addition to financial acumen, the candidate has a strong operational mindset, effectively overseeing departmental processes, contracts, and systems to drive efficiency and performance. Their ability to integrate financial strategy with day-to-day operations, coupled with clear communication and collaboration across stakeholders, ensures alignment with institutional goals and sustainable organizational success.

The Administrator Director assists the Department Administrator with oversight of all business activities including fiscal and budgetary affairs, human resources management, operational systems, departmental policies and departmental facilities, and other activities essential to the successful operations of the department. Must professionally interact with various institutional departments and external agencies.

Strategic and Operational Management Contributes to the development of major initiatives and departmental strategic planning with the Chair and Department Administrator.

  • Establishes collaborative relationships with institutional, departmental and extramural faculty and staff to assure advancement of organizational and departmental goals, programs and projects.
  • Drafts and reviews departmental policies as requested by the Chair and Department Administrator.  Ensures that policies/procedures of the institution are communicated to personnel formally and informally by written and/or verbal means. 
  • Oversees appropriate departmental and institutional continuing education programs.
  • Develops and provides formal and informal education on administrative, quality, and operational requirements to faculty and departmental staff.
  • Oversees the effective management of resources. Manages departmental agreements and contracts and makes recommendations as needed.
  • Directs the organization of the department programs and other special departmental events.
  • Serves as consultant and participates actively on divisional and institutional committees. 

Financial Management

  • Assists with budgetary decisions for the department. 
  • Plans, approves, and monitors expenditures to ensure the cost-effective allocation of funds.
  • Works with the Department Chair to develop departmental philanthropic strategies. 
  • Responsible for the oversight and management of departmental proposals, grants, contracts, progress reports, and correspondence.
  • Ensures that strategic and tactical plans for ongoing funding to supplement research and grant activities are developed and executed effectively and efficiently. 
  • Provides oversight to the overall business activities of each team. 
  • Create and maintain complex financial forecasting models for all revenue and expenses for all funding sources. 
  • Responsible for directing and managing all budgetary & financial activities for operating and non-operating budgets, variance analysis, reporting, and monitoring expenses to ensure compliance.
  • Plan and conduct analysis to determine the delineation of spending patterns/variances in identifying budget requests/changes.
  • Provide recommendations for actions as a result of deficits.
  • Prepares, justifies, and administers departmental and programmatic area budgets. Ensures all budgets are within institutional guidelines and in accordance with strategic plans.
  • Evaluates expenditures to ensure all funds are utilized appropriately and effectively per institutional and regulatory guidelines.
  • Prepares and manages revenue and expense projections for financial reporting. Approve and monitor all financial transactions for all chart fields, including personnel, travel, capital equipment, maintenance and operations, grants and contracts, and donor funds.
  • Communicate to department leadership, faculty, and other appropriate parties regarding individual, the status of operations, expectations, and financial targets.

Human Resource Management

  • Directs all facets of human resource management within the department including recruitment, selection, and credentialing and performance of classified staff. 
  • As needs are identified, requests incremental positions using approved processes with well developed, thoughtful, data driven justifications. 
  • Coaches and counsels employees, and when required, implements the disciplinary process within institutional guidelines. 
  • In consultation with the Department Administrator, executes all personnel actions including hiring, merit increases, terminations, promotions and reclassifications.
  • Serves as the subject matter expert for the department for faculty affairs items – coordinating search committees, recruitment and onboarding of faculty, midterm reviews, promotion and tenure requests, etc.
  • Oversees trainee program in partnership with the Program Manager.
  • Conducts educational activities for department personnel.
  • Identifies potentially qualified applicants for administrative positions.  Conducts interviews and makes hiring recommendations.

EDUCATION

  • Required: Bachelor's Degree Management or related field.
  • Preferred: Master's Degree Business Administration, Healthcare Administration or Public Administration.

WORK EXPERIENCE

  • Required: 5 years Section or department management experience or project management experience. or
  • Required: 3 years Required experience with preferred degree.
  • May substitute required education degree with additional years of equivalent experience on a one to one basis.
  • Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.

OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
