The Associate Director of Procedural Business Operations plays a critical leadership role in supporting operational excellence, resource stewardship, and administrative standardization across procedural service areas. The Associate Director of Procedural Business Operations partners with clinical, operational, and administrative leaders to ensure effective oversight of medical assets, space management, administrative operations, and strategic initiatives.
The Procedural Operations Administration department provides centralized leadership and operational support for procedural environments, including operating rooms, post-anesthesia care units, endoscopy, pulmonary, catheterization laboratories, vascular access, acute care procedural areas, and administrative spaces. The Associate Director of Procedural Business Operations leads large-scale administrative and asset management programs that support safe, compliant, and efficient operations across multiple buildings. The Associate Director of Procedural Business Operations oversees administrative support functions, asset management programs, project coordination, and process standardization while supervising a team of 18 direct reports.
The ideal candidate will have experience in property management, asset inventory oversight, medical device management, and project management within a complex healthcare environment. Preferred qualifications include demonstrated success managing large inventories of medical equipment, coordinating equipment commissioning and lifecycle management, leading administrative standardization initiatives, developing SharePoint resources, utilizing data to drive operational decisions, and supervising multidisciplinary teams. Strong organizational skills, effective communication abilities, technology proficiency, and a results-oriented approach are highly desired.
Salary Range: Minimum $106,500 annually | Midpoint $133,000 annually | Maximum $159,500 annually

Responsibilities
Medical Device, Asset & Space Program Management
Lead asset inventory accountability activities across procedural operations environments spanning more than 1,000 medical devices.
Coordinate equipment tagging, ownership documentation, location tracking, inventory reconciliation, and accountability records.
Track loaner, rental, and vendor-provided equipment inventories and maintain accurate records.
Coordinate equipment installation activities, inspection requirements, acceptance testing, maintenance enrollment, documentation completion, and staff readiness efforts prior to clinical use.
Monitor IMDC and preventative maintenance compliance dashboards and coordinate equipment access, escalation activities, and resolution documentation.
Support medical device recall, safety alert, equipment failure, and damaged equipment response processes in collaboration with Supply Chain, Clinical Engineering, medical leadership, and quality teams.
Track equipment removal from service, repair activities, replacement efforts, and clearance for reuse.
Monitor service vendor performance, maintenance deliverables, response times, service documentation, and unresolved deficiencies.
Coordinate equipment placement, storage, utility requirements, environmental considerations, and installation, renovation, or removal activities with Facilities and Infection Prevention.
Coordinate equipment decommissioning, decontamination, IT/data clearance, disposition processes, and updates to maintenance and property records.
Operational Leadership, Compliance & Accreditation
Directly supervise operations managers, administrative support teams, and asset program coordinators.
Maintain readiness for accreditation surveys through oversight of asset records, service documentation, compliance trends, tracer activities, and corrective action follow-up.
Coordinate security access for operating rooms, procedural areas, and other secured locations in collaboration with security teams.
Serve as the primary liaison for procedural space planning, clinical infrastructure, facilities coordination, and operational readiness activities.
Develop and maintain standard operating procedures for medical device, technology, and service quality programs.
Support value analysis initiatives, contract management activities, expense reduction efforts, equipment planning initiatives, and organizational professionalism programs.
Ensure adherence to institutional policies, procedures, compliance requirements, and operational standards.
Administrative Operations Management & Standardization
Lead and standardize administrative support functions across procedural operations areas.
Oversee organizational chart maintenance, position description reviews, credentialing processes, and human resources file management.
Develop systems and processes that track administrative performance measures and workforce metrics.
Ensure consistency in onboarding practices, administrative processes, and operational support activities across departments.
Maintain and enhance divisional SharePoint resources, centralized records, communication tools, and newsletters.
Monitor competency compliance, position control activities, onboarding metrics, and overtime utilization.
Ensure integrity and accuracy of institutional and divisional databases and reporting systems.
Coordinate communication, escalation processes, organizational updates, and administrative documentation.
Ensure compliance with institutional contracting, information systems, procurement, technology, space, and information security policies.
Establish and monitor internal controls that maintain operational integrity and regulatory compliance.
Financial & Physical Resource Management
Partner with Procedural Operations executive leadership to develop, justify, administer, and monitor departmental budgets.
Manage physical assets, equipment resources, property inventories, and space utilization plans.
Collaborate with asset finance, procedural finance, clinical infrastructure, Supply Chain, and Clinical Engineering stakeholders.
Coordinate physical relocations, renovations, and operational transitions with minimal disruption to procedural services.
Oversee annual inventory reconciliation activities and ensure accurate asset accountability.
Support incremental space requests through required documentation, justification processes, and stakeholder coordination.
Conduct annual space surveys for procedural operations locations across designated buildings.
Manage multi-site operational resources and support strategic space planning efforts.
Coordinate asset readiness activities associated with major capital projects and minor renovation initiatives.
Participate on institutional and divisional committees, task forces, and special projects as assigned.
Strategic Projects & Stakeholder Collaboration
Coordinate project idea submissions, supporting data collection, timeline development, and stakeholder engagement activities.
Partner with procedural operations leadership, finance teams, facilities teams, and clinical departments to advance operational priorities.
Develop communication strategies that support administrative consistency and organizational effectiveness.
Utilize data and performance metrics to identify opportunities for improvement and operational standardization.
Lead projects focused on medical assets, information technology systems, process improvement, and space management.
Support critical resourcing efforts and administrative guidance across procedural operations service lines.
Foster collaboration and communication across procedural operations, planning, and operational teams.
Perform other duties as assigned.
EDUCATION
- Required: Bachelor's Degree In related field.
- Preferred: Master's Degree Business Administration, Healthcare Administration or related field.
WORK EXPERIENCE
- Required: 7 years Business/clinical operations experience in a healthcare environment to include three years in a management role.
- Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.
- Preferred: Experience in property management, asset inventory oversight, medical device management, and project management within a complex healthcare environment.
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
