The primary role of the Grant Program Coordinator is to provide administrative support to the principal investigators, their research programs, research administrative leadership in the Department of Behavioral Science. The position requires judgment, responsiveness, initiative, and independent decision-making while demonstrating excellent interpersonal and communication skills within and outside the department.





Pre-Award Support  Performs pre-award activities for the Department of Behavioral Science. Pre-award activities include, but are not limited to, assisting departmental faculty in the development, preparation, and submission of grant and contract proposals. Meets with Principal Investigators and support staff on all submissions and works with the Office of Sponsored Programs (OSP) and staff to ensure on-time submissions.  Ensures all applications meet agency and institutional guidelines and published time tables and deadlines, including management of the Just-In-Time process. Ensures proposals are entered and routed to OSP in a timely manner for further review. Coordinates with pre-award support staff at collaborating institutions to secure necessary sub-awards documents for proposals. Assists the PI in the preparation of budgets and budget justifications, including appropriate calculation of overhead rates (F&A), salary & fringe, and personnel effort calculations for sponsor salary caps. Determines if a budget is compliant with a sponsor’s funding limit. Reviews budgets for consistency with sponsor criteria, monitors compliance with agency and institutional regulations regarding submission.

Advises the PI on administrative requirements in preparing proposal submissions and on budget adjustments and revisions necessary to meet the sponsor requirements. Collaborates with administrative support staff to ensure faculty biosketches and active and pending support information is current and accurate. Reviews proposals for consistency with sponsor guidelines on budget, format, font size and page limits excluding narrative content (obtain and review sponsor guidelines). Monitors and facilitates proposal process through the routing process in compliance with institutional procedures. Obtains signatures as needed.

Maintains current and ongoing knowledge of policies, regulations, guidelines and procedures related to all types of proposal submissions. Contributes information and ideas related to areas of responsibility as part of a cross functional team. Ensures effective and efficient workflow and adherence to quality standards for staff/program and self.



Training  Provides ongoing training to administrative support staff in preparing grant support documents (such as biosketches and other support). Assists with the development of biosketch and personal statement libraries for faculty and oversees the administrative staff in their maintenance of faculty biosketch collections.
Provides training through information sessions to faculty as needed on changes from sponsors, such as NIH announcements.
Serves as the resource for all matters related to proposal submissions.



Research Administration Reporting   Maintains and publishes the Behavioral Science Protocol Prioritization List. Verifies accuracy of protocol status on an ongoing basis. Identifies protocols that require termination or transfer due to faculty departure. Assists with departmental reports for protocol activity. Provides departmental support to faculty for the protocol registration process with ClinicalTrials.gov in conjunction with the Office of Protocol Review and Reporting (OPRR). Generates monthly grant submission reports for each faculty member with submissions and prepares overall submission report for department chair. Complies and distributes biweekly funding opportunity digest of opportunities obtained from institutional and external sources. Disseminates general notices related to grant policies from sponsors, e.g. NIH. 




Required: Bachelor's degree.

Required: Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis.
