As an Intake Navigation Supervisor, you will lead a dynamic team of Intake Nurse Navigators who serve as the gateway to care for new oncology patients. You’ll help ensure every patient and referring provider receives compassionate, timely, and informed guidance, from the first inquiry through initial appointment scheduling and beyond.

This role combines leadership, operational expertise, and a heart for patient-centered service. You will drive improvements in process efficiency, staff engagement, and service excellence, making an immediate impact on patients’ access to life-changing care.


The ideal candidate will demonstrate strong accountability, effectively engage in difficult conversations, monitor and manage team productivity, and drive process improvement initiatives to enhance operational efficiency

This is a hybrid position. Training and orientation for this role will take place onsite for the first three months. After training is completed, onsite presence will continue to be required weekly or on an as needed basis. 

The standard schedule for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m. Flexibility may be required for meetings or responsibilities that occasionally fall outside these hours.

    Key Functions

Navigation and Patient Experience

•    Provide day-to-day direction and mentorship for Intake Nurse Navigators.
•    Oversee the intake navigation process, including record reviews, triage, and identification of barriers to care.
•    Implement, maintain, and recommend updates to navigation tools, workflows, and standard operating procedures.
•    Collaborate with Access Managers and the Navigation Program Director to continuously refine processes and technology that support the Oncology Navigation Program.
•    Monitor, analyze, and report navigation performance metrics; identify and act on opportunities for improvement.
•    Assist with appropriate patient assignment following referral review and ensure timely redirection when needed.
•    Escalate provider or referral issues promptly for effective resolution.

Operations and Process Excellence

•    Evaluate staffing levels, coverage, and workload distribution to ensure operational efficiency.
•    Track attendance, manage overtime utilization, and maintain financial accountability within the unit.
•    Use data and customer feedback to assess service quality, elevate the patient experience, and meet performance goals.
•    Facilitate technology assessments, oversee implementation, and ensure integration with existing systems.
•    Participate in institutional committees and access-related working groups to design scalable and sustainable process improvements.
•    Partner with Access Supervisors and leaders across service lines to address complex operational issues and deliver seamless patient transitions.

Team Leadership and Development

•    Lead onboarding and continuous training for new and existing staff; act as mentor, coach, and go-to resource for problem-solving.
•    Foster a positive and psychologically safe work environment where staff can share ideas and collaborate openly.
•    Hold regular team meetings to review best practices, discuss process updates, and celebrate wins.
•    Communicate organizational vision and encourage a cooperative, service-oriented culture within the team.
•    Regularly evaluate employee performance and competency, providing timely coaching, recognition, and development plans.

Compliance, Quality, and Continuous Readiness

•    Ensure compliance with institutional, state, and federal standards for patient access and navigation operations.
•    Maintain effective resource management, space utilization, and workflow organization to meet productivity and quality benchmarks.
•    Collaborate with Access Managers and Program Directors to sustain readiness for audits and regulatory reviews.
•    Complete all required training, education, and core competency programs annually.

Education

Required: Bachelor's degree in Nursing. 

Experience

Required: Five years professional oncology nursing or oncology nurse navigation experience to include two years in a lead or supervisory capacity.

With preferred degree, three years professional oncology nursing or oncology nurse navigation experience to include two years in a lead or supervisory capacity. 

Current State of Texas Professional Nursing License (RN).  Basic Life Support (BLS) or Cardiopulmonary Resuscitation (CPR) certification.
