The Access Operations Department at MD Anderson Cancer Center plays an essential role in helping patients connect quickly and smoothly with the care they need. The department focuses on scheduling, patient support, and improving operational flow so clinical teams can devote more time to patient care and continue delivering exceptional cancer treatment.

The Patient Access Representative is responsible for ensuring accurate, efficient, and courteous access for new patients. This role includes providing outstanding customer service, communicating with referral sources, scheduling and registering new patients, verifying insurance, securing authorizations, and advising patients about their financial responsibilities. The Patient Access Representative supports the organization’s mission by contributing to strong access and phone service performance. In addition, the Patient Access Representative may coach and mentor Associate‑level staff and support department-wide improvement efforts.

The ideal candidate will have EPIC or Electronic Health Record (EHR) experience, proven ability to manage high call volumes, experience scheduling appointments and patient testing or orders, and demonstrated skill in medical record retrieval.

This is a hybrid position and may require flexibility to be onsite as needed to support business operations.

Job‑Specific Competencies
Patient Access

  • Consistently and accurately uses medical acceptance criteria to screen and schedule new patient appointments to support efficient clinic operations.
  • Communicates clearly and professionally with patients. 
  • Follows customer service standards and works to meet reasonable patient requests. 
  • Routes patients to the correct destination, using warm transfers whenever possible.
  • Supports the rollout of department-wide tools, resources, and operational changes that enhance access to care and help staff work more efficiently.
  • Fully and accurately documents communication with payors, patients, and treatment teams. 
  • Records details according to established guidelines and demonstrates strong prioritization and urgency.

Revenue Integrity

  • Collects complete and accurate financial and consent information during the intake and registration process. 
  • Verifies this information during new patient registration to ensure all required forms and consents are completed.
  • Uses technical skills to gather insurance information and verifies eligibility electronically when available.
  • Provides patients with financial details gathered during verification, including cost estimates, payment plan options, discounts, and available financial assistance resources.

Oral and Written Communication

  • Uses excellent communication and listening skills when interacting with patients, referral sources, MD Anderson physicians, and clinical teams about access challenges or financial clearance. 
  • Returns voicemails and MyChart messages within one business day and answers calls promptly (within three rings).
  • Communicates clearly and professionally in all patient interactions. Follows customer service standards, works to meet reasonable requests, and ensures patients are directed to the correct destination with warm transfers whenever possible.

EDUCATION

Required: High School Diploma or Equivalent

Preferred: Associate's Degree

WORK EXPERIENCE

Required: Four years Experience in healthcare, insurance, or related field.

OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
