The Patient Scheduling Coordinator is responsible for scheduling patient visits, physician appointments, diagnostic tests, procedures, and treatments. This role involves communicating pertinent information regarding appointments, scheduling, prepayment, and financial counseling to patients, families, physicians, team members, and other patient care areas. The coordinator interprets and coordinates physician orders and prepares and maintains appointment templates and/or patient records.


The ideal candidate will have healthcare experience, front desk experience, familiarity with an office setting, proficiency in handling calls, and customer service experience. 

Candidates who are also interested in working Onsite for the following shifts are preferred: 

Monday through Friday, 10:30am – 7:00pm, including weekends and rotating holidays
Sunday through Thursday,  10:30am – 7:00pm,  including holidays. 

Hourly Breakdown of salary range: Minimum $19.23 - Midpoint $24.03 - Maximum $28.84


Working Hours:
The working hours for this position will vary depending on the assigned Center and its business needs. Flexibility in scheduling is essential to meet the demands of our dynamic environment. Depending on the Center, some positions may require you to work fully on-site.
 

Job Specific Competencies:
Communication with Patients/Family and Multidisciplinary Teams:
Patient/Family Interaction:

  • Greet, orient, and answer questions from patients and family members.
  • Advise patients and family members of available services.
  • Schedule and coordinate patient appointments, including provider visits, diagnostic tests, procedures, and treatments based on provider orders.
  • Assist in maintaining a safe environment for patients, co-workers, and visitors.

Multidisciplinary Teams:

  • Utilize interpersonal and communication skills to ensure that customer requests and needs are met.
  • Acknowledge and clarify customer inquiries, requests, or complaints to ensure that needs are identified, documented, and addressed.
  • Communicate pertinent information regarding appointments, scheduling, and necessary preparations to patients, families, physicians, team members, and other patient care areas, whether in person, by mail, by phone, by online applications, or secure messaging.

Record Maintenance:

Prepare and maintain appointment templates and/or patient records electronically and/or manually as directed.
Update relevant patient information to maintain an accurate patient record.
Ensure the security and confidentiality of patient information at all times.
Handle and process a complex and varied series of documents and situations.
Focus on deadlines, specifically the time and/or date in which a particular task or assignment is due for completion.

Financial Activities:

  • Review and collect patient payments, including co-payments, deductibles, and other pre-payments required for services rendered.
  • Update payment information in One Connect when directed by the Financial Clearance Center or Patient Access Services.
  • Reconcile and maintain the integrity of the One Connect cash drawer daily and immediately report discrepancies to leadership.
  • Follow cash handling guidelines and procedures, including the handling of the daily change fund as outlined by Treasury Services in the cash manual.
  • Perform validation of the Medicare Secondary Payer Questionnaire (MSPQ) required for accurate and timely billing.
  • Ensure coordination of benefits and assignment of Hospital Account Record (HAR) as needed.

Perform other duties as assigned.

EDUCATION

Required: High school diploma or equivalent.

EXPERIENCE

Required: Three years of relevant work experience.  May substitute additional education for required experience on a one to one basis.

Must pass pre-employment skills test as required and administered by Human Resources.
