Program Coordinator - Neurosurgery
The Neurosurgery department has developed a world-class clinical program to manage all aspects of neurosurgical oncology, including complex brain and skull base tumors, spinal tumors, and intractable, cancer-related pain disorders. We work to discover new imaging and surgical techniques and methods to effectively treat and manage pain. The goal of our research is to improve survival rates and quality of life for our patients.
The primary purpose of the Program Coordinator position is to provide broad management support for the integrated clinical and academic activities within the Skull Base section of the Department of Neurosurgery. The Program Coordinator also provides administrative support to academic faculty, including direct support to the Section Chief. Responsibilities include handling confidential correspondence and information, transcription, and maintaining program files.
The ideal candidate will hold a Bachelor’s degree and bring proven experience in event planning.
This role requires candidates to work onsite daily for the first three months to support training, onboarding, and seamless integration with the team. After the initial period, the position transitions to a hybrid schedule with two onsite days per week, though additional onsite presence may be required based on business needs. Candidates should also be prepared for occasional weekend work depending on project timelines or workload.
KEY FUNCTIONS
Referral and Outreach Support
The Program Coordinator develops and maintains a database of physicians who refer to the skull base program to support outreach and strengthen referral patterns, and works with clinical staff and EPIC specialists to gather referral data and patient demographics.
Clinical Reporting and Data Coordination
- Collaborates with administrative staff to produce and distribute reports that track clinical practice within the skull base program, including neurosurgery and head and neck surgery.
- Reports include key clinical outcomes such as extent of resection, complication rates, resource use, NP/consult volumes, and billing indicators.
- Works with the Department of Neurosurgery database team, EPIC specialists, and data presented during monthly Morbidity and Mortality Conferences.
Educational Program Development
- Works with Physician Relations to create quarterly educational programs for CME for referring physicians.
- Manages recurring national and international CME programs, including multidisciplinary webinars and cadaver courses.
- Coordinates curriculum development with faculty from various specialties.
- Works with marketing, physician relations, MD Anderson Network, and audiovisual teams.
- Interfaces with industry sponsors to secure financial and equipment support.
MECCA Lab Coordination
- Collaborates with Baylor College of Medicine partners to organize educational activities within the MECCA Lab.
- Oversees inventory, access, and maintenance needs within the lab.
Research Project Support
- Helps track collaborative research projects across programs and coordinates recurring biweekly meetings.
Fellowship Recruiting Support
- Coordinates recruitment for the skull base research fellowship, including advertising opportunities and managing applications.
Additional Duties
- Performs other duties as assigned to support the goals of the Program Coordinator, Education role and the skull base program.

EDUCATION
Required: Bachelor's Degree Business Administration or related field.
Preferred: Master's Degree
WORK EXPERIENCE
Required: Three years Project/program coordination experience or one year Required experience with Master's degree
May substitute required education degree with additional years of equivalent experience on a one to one basis.
