Program Coordinator - Surgical Oncology
The University of Texas MD Anderson Cancer Center is seeking a Program Coordinator to support the Department of Surgical Oncology, a fast-paced academic environment that integrates patient care, research, and education. The Program Coordinator serves as a key administrative partner to faculty and clinical teams, coordinating complex projects, educational activities, publications, research support functions, and departmental operations. The Program Coordinator is expected to work independently while managing multiple priorities in a collaborative and established department known for strong teamwork and long-tenured staff.

Preferred experience includes educational conference management, publications management, and grant or research-related support. Education, work experience, and licenses/certifications are not specified; candidates should demonstrate the ability to coordinate high-level administrative, educational, and research activities in a demanding academic healthcare setting.
Salary Range: Minimum 53,000 - Midpoint $66,000 - Maximum $79,000
The typical work schedule is: • On-Campus: 9:00 am – 3:00 pm • Remote: 8:00 am – 5:00 pm
Hybrid Schedule: • On-Campus: Two Days A Week (Will be assigned) • Remote: Three Days a Week

Key Responsibilities
Project Coordination, Training & Administrative Operations
• Coordinate complex departmental projects and administrative functions using independent judgment and analysis
• Provide software training on Microsoft Office Suite, EndNote, Adobe, and related applications to faculty, fellows, and staff •Assist the Surgery
Operations Manager with onboarding, orientation, and training of new Administrative Assistants
• Develop and implement training plans that support ongoing staff development and education • Establish and maintain communication processes between institutional leadership, Section Chiefs, and departmental staff
• Coordinate timely dissemination of information and facilitate responses to departmental requests
• Assist the Surgery Department Administrator and Surgery Operations Manager with special projects, reports, recruitment activities, credentialing, and policy development; Research, Grants & Publications Support
• Assist Principal Investigators with coordinating clinical research grant submissions
• Prepare grant budgets, biosketches, and supporting documentation
• Review grant materials for completeness and accuracy prior to submission
• Coordinate approximately three edited books annually with publishers and contributing authors
• Manage book chapter drafts, edits, revisions, and final submissions • Assist faculty with manuscript preparation, editing, formatting, and submission
• Ensure compliance with journal-specific submission requirements for two to three manuscripts per month
Educational Programs, Conferences & Training Administration
• Ensure effective administrative management of departmental educational programs
• Maintain core curriculum, literature review activities, and Journal Club requirements
• Coordinate Continuing Medical Education activities and ensure appropriate CME arrangements
• Manage administration of departmental observers and visitors
• Serve as coordinator for the weekly Liver Tumor Conference involving multidisciplinary physician teams
• Develop agendas and coordinate conference logistics for patient case reviews and treatment planning discussions
• Organize and manage the Annual Liver Conference and Pancreas Conference on a rotating schedule
• Coordinate support from participating organizations and stakeholders associated with annual consensus conferences
• Support conferences focused on multidisciplinary treatment approaches for hepatocellular carcinoma, colorectal liver metastases, cholangiocarcinoma, and pancreatic malignancies
Website & Communication Management
• Maintain the Surgical Oncology intranet site, including content, design, layout, and information architecture
• Manage online communication tools, including email newsletters and related communications
• Support implementation and maintenance of the Rhythmyx web content management system
• Coordinate migration, updates, and maintenance of website content
• Ensure web content aligns with institutional branding standards and usability goals
• Maintain knowledge of Spectra and Rhythmyx systems and web content processes
• Follow institutional web guidelines and password security requirements
• Collaborate with Internet Services staff to ensure accurate and current web content
Executive Administrative Support
• Maintain faculty calendars, schedules, meetings, presentations, travel arrangements, and lecture activities
• Compose and prepare general correspondence and related departmental communications
• Manage patient-related phone calls and inquiries
• Operate standard office equipment and technology resources • Provide comprehensive administrative support to faculty and departmental leadership
Perform additional duties and special assignments as required
EDUCATION
- Required: Bachelor's Degree
- Preferred: Master's Degree
WORK EXPERIENCE
Required: 3 years Related experience, including program/project coordination experience. or 1 year Required experience with Master's degree.. May substitute required education degree with additional years of equivalent experience on a one-to-one basis.
