Program Coordinator - Translational Molecular Pathology

The Program Coordinator provides advanced administrative and operational support to departmental leadership and assigned faculty while helping ensure continuity of departmental operations through cross-coverage and collaborative support. Responsibilities include coordinating complex calendars, meetings, travel arrangements, teleconferences, and departmental events; preparing agendas, presentations, and meeting materials; documenting meeting minutes and action items; and serving as a liaison between faculty, principal investigators, grants teams, administrative teams, and both internal and external stakeholders.
This role also supports onboarding, operational coordination, and departmental initiatives by assisting with new employee orientation processes, system access, asset coordination, and departmental timekeeping activities. Additional responsibilities include coordinating trainings, workshops, conferences, symposia, research retreats, and other programmatic events while helping maintain departmental databases, communications, and administrative resources.
A key focus of this position includes visa coordination and administrative support for international staff onboarding processes. The ideal candidate will have experience assisting with or processing visa-related documentation, particularly J-1 and H-1B visa processes, while working collaboratively with institutional offices to ensure timely and accurate completion of required documentation and compliance activities. Candidates with experience supporting international faculty, researchers, or academic departments are strongly preferred.
The ideal candidate will possess exceptional organizational, communication, and multitasking skills, along with experience supporting programs, operations, or executive-level administrative activities within an academic, healthcare, research, or professional environment. JOB SPECIFIC COMPETENCIES
Provide advanced administrative and operational support to the Office Manager, Department Administrator, and assigned faculty. Serve as an integral member of the administrative team, providing cross-coverage and support to ensure continuity of departmental operations.
Coordinate a wide range of administrative activities, including complex calendar management, meeting coordination, and preparation/distribution of agendas and minutes. Proactively anticipate needs and prepare materials for meetings, appointments, correspondence, and teleconferences, ensuring timely follow-up on action items and outstanding issues.
Coordinate all travel arrangements (air and ground) for assigned faculty and departmental initiatives, ensuring compliance with institutional policies. Provide onsite support for meetings and events, ensuring seamless execution and coordination with internal teams, including audiovisual support as needed.
Utilize strong interpersonal and organizational skills to coordinate programmatic activities and events, serving as a liaison between faculty, principal investigators, administrative teams, grants teams, and other internal and external stakeholders.
Serve as primary or back-up timekeeper, ensuring accurate time entry, review, and submission in accordance with institutional deadlines and policies.
Visa Coordination and Support: Coordinate and assist with departmental onboarding processes, including scheduling and conducting orientations for new staff and ensuring completion of required documentation and system access.
Assist in the preparation, coordination, and tracking of documentation for J-1 and H-1B visa processes for classified staff members, ensuring accuracy and timely submission in collaboration with institutional offices.
Support administrative operations by assisting with documentation, tracking, and coordination of processes that impact departmental staffing and compliance.
Coordinate meetings, prepare materials, and document outcomes, including agendas and minutes, as needed. Provide onsite support to ensure successful execution of events and activities.
Assist in maintaining departmental systems and resources, including position tracking databases for faculty and staff. Serve as a departmental point of contact for general administrative inquiries and collaborate with internal and external stakeholders as needed.
Support departmental and programmatic initiatives through coordination of logistics, communications, and materials (print, email, and web-based content), ensuring alignment with departmental goals and timelines.
Assist in the preparation, coordination, and tracking of documentation for J-1 and H-1B visa processes for classified staff members, ensuring accuracy and timely submission in collaboration with institutional offices.

Education
Required:
• Bachelor's Degree in Business Administration or related field
Preferred:
• Master’s Degree
Work Experience
Required:
• 3 years of project/program coordination experience OR
• 1 year of required experience with Master’s degree
• May substitute required education degree with additional years of equivalent experience on a one to one basis
Preferred:
• 5 years of administrative experience to include two years in a supervisory or managerial capacity in a patient care environment
