The University of Texas MD Anderson Cancer Center is a leading institution focused on cancer care, research, education, and prevention. The Ambulatory Treatment Center (ATC) provides essential outpatient services that support patient care and clinical operations across multiple locations, including the Main Hospital, Life Sciences Plaza (LSP), and the Northwest Surgery Center. The Senior Administrative Assistant plays a critical role in supporting the administrative and operational functions that help ensure efficient and effective clinic operations.
The Senior Administrative Assistant provides highly responsible operational support while exercising independent judgment within established departmental guidelines and procedures. The Senior Administrative Assistant works closely with leadership, including the Director and Associate Directors, to coordinate business operations, manage resources, and support daily clinic activities across the ATC. The Senior Administrative Assistant serves as a key administrative partner in maintaining efficient clinic operations and supporting departmental goals.
The ideal candidate will possess strong administrative support experience, exceptional organizational skills, and the ability to work independently in a fast-paced environment. Experience with ResourceOne and CEMS is preferred. Candidates with strong communication skills, attention to detail, and the ability to manage multiple priorities while supporting operational and leadership initiatives will be well suited for this role.
Salary Range (Annual): Minimum $45,500 - Midpoint $57,000 - Maximum $68,500
Work Location: The Texas Medical Center
Must be open to coming onsite at least 3 days per week after onsite training is completed.

Responsibilities
Administrative Support & Operations
• Provide administrative support to the Director, Associate Directors, management, and staff of the Ambulatory Treatment Center.
• Develop and maintain telephone lists, schedules, planning calendars, staff rosters, and contact lists.
• Use independent judgment and analysis to identify issues and determine appropriate solutions.
• Prepare meeting minutes and coordinate administrative support for meetings, conferences, and programs.
• Assist with mail pickup and delivery.
• Submit Key Performance Indicator (KPI) reports and other administrative documentation.
• Support annual space planning activities and other departmental initiatives.
• Perform additional duties and special projects as assigned.
Financial & Resource Management
• Manage operational purchasing and expense tracking utilizing ResourceOne.
• Process Procard purchases and reconciliation activities.
• Maintain inventory of office and breakroom supplies and coordinate replenishment as needed.
• Support asset management activities and maintain tracking records for departmental resources.
Facilities, Equipment & Operational Coordination
• Coordinate equipment service requests with Bio Med and external service providers.
• Manage equipment repair requests, return authorizations, and associated documentation.
• Process key requests and facility-related service requests as needed.
• Coordinate furniture repair and workspace maintenance requests.
• Submit and manage CEMS requests for Center operations.
• Collaborate with facilities, Bio Med, and housekeeping teams to support clinic operations.
Clinic Support & Employee Services
• Coordinate courier requests for clinical operations.
• Manage patient nutrition orders for the Main Hospital, Life Sciences Plaza, and Northwest Surgery Center.
• Assist with employee badge requests and related administrative support.
• Support employee recognition activities, Nurses Week events, blood donor programs, and other Center events.
• Provide administrative coordination that supports efficient clinic and leadership operations.
Other duties as assigned
EDUCATION
- Required: High School Diploma or Equivalent
- Preferred: Associate's Degree or
- Preferred: Bachelor's Degree
WORK EXPERIENCE
- Required: 5 years Administrative/secretarial experience. or
- Required: 3 years Required experience with Associate's degree. or
- Required: 1 year Required experience with Bachelor's degree
- Preferred: Experience with ResourceOne and CEMS
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
