The primary purpose of the Sr. Administrative Assistant position is to provide administrative support to Executive Director level positions as well as Project Director/Management positions in Business Development. This position assists in providing a full range of support services for identified Business Development matters with varying degree of complexity.




Administrative Support

  • Managea administrative aspects of workflow and day to day operations for Executive Director (s) and Project Director/Manager (s), including maintaining complex calendars for each.
  • Schedules and coordinates high frequency of meetings which include MDACC leadership/physicians/other staff as well as client’s leadership/physicians/other staff. Communicates effectively with all levels of professional staff to ensure key individuals are present at meetings. Prepares agendas and meeting materials for distribution.
  • Facilitates arrangements for extensive travel. Prepares and processes Concur authorizations and travel reimbursement/expense forms.
  • Composes and manually types emails, memos, and letters, and prepares graphs, charts and spreadsheets. Transcribes, proofreads, edits and formats administrative correspondence and reports.
  • Creates and/or coordinates preparation of professional quality presentations.
  • Receives, places, screens and transfers calls using appropriate telephone etiquette; responds to telephone information requests with courtesy, accuracy and respect for confidentiality. Takes complete telephone messages.
  • Coordinates special projects as assigned.
  • Must be able to work independently with limited supervision and make decisions and resolve problems in the absence of supervisory personnel.


Required: High school diploma or equivalent.

Required: Five years of administrative/secretarial experience.
With preferred degree, one year of required experience.

Required: Must pass pre-employment skills test as required and administered by Human Resources.
