The Senior Financial Analyst reports to the Senior Financial Management Analyst and is responsible for processing state tax deposits and filings, managing multi state payroll tax compliance, and maintaining accurate records for Non Resident Alien (NRA) employees and non employees. This role also performs duties related to W 2, 1099, and 1042 reporting and supports PeopleSoft tax updates and process improvements.


MD Anderson Cancer Center is a leading institution focused on cancer care, research, education, and prevention. In this role you will maintain Multi State Implementation, collaborate with HR Admin, Payroll Department, and IT team to develop process improvement initiatives and establish project objective to successfully carry out the changes in Multi State tax laws/ rates and apply changes in Peoplesoft as appropriate during quarterly tax updates.


The ideal candidate will have a Bachelor’s Degree in Business Administration or related field and have a background in multistate payroll tax.
Shift Hours: Monday – Friday 8am – 5pm(Remote but must be willing to train in person for the first 6 months of employment and come onsite once a week to scan and mail documents).

Key Functions


Multi-State Tax & Payroll Compliance
•    Maintain multi-state implementation processes in collaboration with HR, Payroll, and IT; support quarterly tax update changes in PeopleSoft.
•    Process business registrations with state and local agencies; set up W 4 and state unemployment insurance requirements.
•    Run weekly queries to monitor out of state employees and coordinate with Payroll/HR during payroll processing.
•    Process state and local tax deposits and filings (monthly, semi monthly, quarterly, annual) in accordance with each jurisdiction’s Department of Revenue guidelines.
NRA (Non Resident Alien) Employee Processing
•    Review Forms DS 2019, I 20, I 94, and U.S. Visa documentation for new NRA hires.
•    Review NRA tax summary reports, apply tax treaty exemptions in PeopleSoft, and coordinate payroll tax adjustments (withholding and FICA) with Payroll.
Federal & State Reporting
•    Support W 2, 1099, and 1042 year end reporting activities.
•    Review monthly Accounts Payable transactions to ensure accurate 1099 MISC taxability.
•    File Form 941 X (Amended 941): process W 2C corrections, reconcile balances, mail filings to IRS, and issue refunds to employees when applicable.
•    Manage quarterly out of state tax deposit reclassification journal entries for posting to the General Ledger.
1099 Year-End Reporting
•    Partner with Core Business Applications to configure and implement 1099 NEC and 1099 MISC year end reporting for: 
o    MD Anderson Cancer Center
o    MDA Physician Network
o    MDA Services Corporation
UBIT (Unrelated Business Income Tax)
•    Serve as the designated Institutional Tax Coordinator (ITC) for MD Anderson.
•    Coordinate the annual UBIT filing with the UT System Office of the Controller.
Vendor & Payment Processing
•    Review W 8BEN and W 9 forms; approve new vendor documentation for Independent Contractors, Royalty, Awards, Honorarium, After Hour Care, and NRA student scholarships.
•    Process and approve AP check requests (Scholarship, Royalty, Honorarium, Awards, Stipend, After-Hour Care, Legal Settlements).
•    Determine appropriate tax coding (1099 NEC, 1099 MISC, 1042).
Sales & Use Tax Exemption
•    Process Texas Sales & Use Tax Exemption Certificate requests for Accounts Payable and other departments.
Other Responsibilities
•    Participate in system testing during PeopleSoft enhancements and tax-related system changes.
•    Perform other duties as assigned.
 

REQUIREMENTS

EDUCATION

  • Required: Bachelor's Degree Business Administration or related business specialty.
  • Preferred: Master's Degree Business Administration or related business specialty.

WORK EXPERIENCE

  • Required: 5 years Experience in data analysis, accounting or financial project management.
