Sr Administrative Assistant - Anesthesiology Critical Care, Pain Med - Clinical
This is a centralized division Sr. Administrative Support position that coordinates our weekly Division Visiting Professor Grand rounds and M&M conferences. Provides support to the Division Office in addition supporting to the Director of Finance and Associate Director of Research and Director of Safety and Quality. The Sr. AA is the back up for division head executive assistant and assist with special projects. Also, this position supports special programs and provide backup coverage to our centralized concur process.
Sr. Administrative Assistant opportunity in Anesthesiology, Critical Care & Pain Medicine - Clinical. We are seeking a highly organized and detail-oriented individual with a bachelor’s degree and proven experience in coordinating multiple events concurrently. The ideal candidate will have excellent time management skills, particularly in handling calendar scheduling and travel arrangements. Strong verbal and written communication abilities are essential for effective interaction with both internal teams and external partners.
A deep understanding of Concur guidelines related to guest speakers is preferred, along with the ability to prepare professional presentations using advanced PowerPoint skills.
Candidate must be dependable and able to be onsite on Wednesday mornings at 6 AM for visitor meetings.

Job Specific Competencies
Guest Speaker Coordination
Prepares visiting professors travel arrangements, applying both institutional and departmental policies for visits.
Coordinator for grand rounds and M&M conferences. Meeting Coordination to include Agendas, Minutes and PowerPoint Presentations.
Processes travel for guest speaker within 24-48 hours (2 business days) turnaround upon receipt of information to include scheduling flights, hotel arrangement, registration, City Car services, W-9, CME, etc.
Prepare Concur reimbursements for travel and/or other expenses.
High volume communication interaction with external and internal assistants and institutional guest speakers.
Manages the audio/visual during the meetings.
Administrative Support
Secondary support for centralized faculty travel and reimbursement processing.
Calendar Oversight for a Leadership team of and back-up for the division head.
Supports division wide Primary back up for Concur reimbursement for over one hundred faculty and administrative leadership.
Didactic Lecture scheduling
Provides supports for the division office supply operations.
Financial Responsibilities
Ensure appropriate funding is identified for grand round visits and other lectures.
Submit concur reimbursements.
Other Duties as Assigned
EDUCATION
Required: High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred Associate’s degree, three years of required experience and with preferred Bachelor’s degree, one year of required experience.
Preferred: Associate’s or Bachelor’s degree
EXPERIENCE
Required: Five years of administrative/secretarial experience.
Preferred: Five years secretarial/administrative experience in an oncology clinical/hospital setting. Microsoft Office (Word, PowerPoint, and Excel), and Concur.
Required: Must pass pre-employment skills test as required and administered by Human resources.
