Work Control Coordinator
Ideal candidate would have experience with Maximo CMMS (database) and ability to navigate all aspects of the work order work flow process. Must haves include strong computer skills, ability to learn new processes, and ability to interact with the staff (maintenance technicians) and vendors in a effective and professional manner.
The work schedule is Monday - Friday, Days (6:30am-3pm or 7am-3:30pm).
This position is full time onsite.
The salary range is $40,000 - $50,000 - $60,000

The primary purpose of the Work Control Coordinator (WCC) position is to support the maintenance repair and PM programs. This includes coordination of materials procurement, tracking of work order information, data entry and record creation in the Computerized Maintenance Management System (CMMS), and coordination of information needed by the maintenance team.
ESSENTIAL JOB FUNCTIONS
Coordinates creation and close out of new service requests from both internal maintenance staff and building occupants. Ensures key data fields within the CMMS (Maximo) meet institutional standards and coordinates reporting on such information. Coordinates both entry of materials requests into Maximo as well as receipt of materials at the local satellite warehouse. Assists with management of the satellite parts warehouse inventories and coordinating stock level changes with the FM Materials Management team. May backfill other roles on the Work Control and Planning team as needed.
WORK ORDER MANAGEMENT
•Review and manage pre-defined queries in Maximo to ensure proper work group assignment and work area distribution (i.e. Open Work Orders awaiting action, High Priority Work Orders status, Work Orders to be Triaged or closed)
•Coordinate the transfer of work orders in Maximo to other work areas/sites and notify the designated group as per the departmental guidelines •Coordinate requests to add new data values into CMMS System when required.
•Coordinate contracted work orders with vendors and ensure all relevant data is entered and work orders closed in a timely manner.
•Coordinate pulling information on Work Order backlogs and other reports needed for effective management of maintenance work.
•Coordinate with external vendors to request service per contract requirements that were identified by their service technicians.
ASSET DATA MAINTENANCE
•Create and maintain equipment asset records as per institutional Maximo standards.
•Support all new assets from asset data collection sheets and contractor generated equipment matrix associated with new capital projects.
•Monitor asset data compliance requirements and coordinate edits required with the associated supervisor or craft technician(s).
PROCUREMENT OF MATERIALS
•Request, obtain and process Vendor Add forms into Resource One.
•Investigate and resolve vendor credit hold issues associated with materials or services requested by the local maintenance team.
•Contact vendors for ETA’s on pending material purchases for all open work orders in local department queue.
•Coordinate and process all materials returns between both MD Anderson Materials WH and outside vendors.
•Liaison for all OAM warehouse issues such as stock outs, ETA’s for stock items and setup of new items to be stocked at the local satellite warehouse. •Receive materials, label with work order information, place in assigned location and update work order status in CMMS System
•Pull and stage PM material as per the daily assignments per technician.
OTHER DUTIES AS ASSIGNED
Other duties as assigned by supervisor or in support of backfilling other staff when absent.
EDUCATION
- Required: Associate's Degree or
- Required: Trade diploma/certificate.
- Preferred: Bachelor's Degree In a related field.
WORK EXPERIENCE
- Required: Two years Administrative or clerical experience.
- May substitute required education degree with additional years of equivalent experience on a one to one basis.
- Previous experience in a plant/maintenance environment.
- Preferred: Three years minimum working with a computerized maintenance management system. Previous experience in a plant/maintenance environment.
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
