SUMMARY



To provide research administrative support and day-to-day oversight of funding initiatives and grant applications. To provide day-to-day support of submission and administration of grants and other funded projects.



JOB SPECIFIC COMPETENCIES



Pre-Award Support

  • Provides administrative support for the grant process.

  • Develops and reviews grants for accuracy and compliance prior to submission to Office of Sponsored Programs.

  • Reads Funding Opportunity Announcements and advises PI of specific grant requirements.

  • Assists with the proposal process, including entering data into the internal Click Grants system and any agency systems.

  • Works with administrative support team to ensure that biosketches and "other support" documentation and grant-related information in the Faculty Information system is current and accurate.

  • Assists with Just-In-Time processing, including advising the PI on compliance requirements and monitoring the department's current and pending proposal status.

  • Works with the institutional offices and the granting agencies to process the transfers of existing grants from other institutions.

  • Share knowledge throughout the department on major sponsor requirements to increase the probability of success in receiving awards from funding sources such as NIH, NSF, DOD, etc.

  • Communicates with internal grant processing departments as well as granting agencies regarding grant preparation/submission, including sub-contracts, core grants, etc.

  • Communicate with other departments and institute personnel regarding deadlines, budgets, and other requirements for multi-investigator grants.

  • Review the awards for restrictions and special conditions and relay information to the award recipient.

  • Assists Associate Dir of Research and Planning Dev and Department Administrator with review of effort reports and works with faculty regarding any issues.

  • Maintains a high level of professionalism and handles highly confidential information. Assists with creating departmental policies and procedures in accordance with audit recommendations as well as sponsor and institutional requirements.

  • Assist Associate Financial Analyst with the preparation of departmental financial reports.

 

Administrative Support – Research Faculty

·       Processes accurate and timely travel expense reports to ensure that faculty or administrative members are reimbursed promptly.

·       Completes and submits accurate and timely leave requests through QGenda to ensure documents are approved before the date of leave and verifies with the timekeeper that information is correctly entered.

·       Maintains electronic calendar for assigned faculty/administrator using appropriate software; schedules, updates, and/or cancels meetings as required; provides up-to-date information.

·       Interfaces with the information systems support group to resolve computer hardware and software problems within the department.

·       Assists with coordinating meetings and/or lectures, including but not limited to creating flyers, flyer distribution, disclosure form management, catering, attendance capture, invitations, etc.

·       Maintains and keeps track of professional licensure and membership renewal dates on an ongoing basis.

REQUIREMENT



Required education: Bachelor's degree.
Preferred education: Master's degree. 



Required experience: Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. With preferred degree, one year of experience required.
