Materials Management Supervisor
The Supervisor of Materials Management plays a key role within the Materials Management Services department, ensuring reliable inventory, logistics support, and seamless operational workflows that directly impact patient care and research activities. This role oversees daily operations across multiple functional areas—including inventory, receiving, asset control, finance, linen, equipment, and warehouse services—ensuring accuracy, safety, and compliance always. As part of a large, complex service environment, the Supervisor of Materials Management provides leadership, training, and coordination to staff while maintaining strict operational standards across systems and processes.

The ideal candidate brings experience in inventory and logistics operations with demonstrated supervisory skills. Preferred qualifications include an associate’s or bachelor’s degree, experience managing high-volume inventory or materials-handling environments, and strong competency with inventory management systems, handheld devices, and materials management workflows. Candidates with structured leadership training or accelerated leadership program completion are also well suited for this role.
The typical work schedule is Nights, 11pm–8am, onsite. (Sundays – Thursdays)

Responsibilities
Operational Supervision & Inventory Management
• Supervise placement of approved supply orders through automated par level systems or manual processes during outages.
• Participate in inventory preparation and execution across assigned areas.
• Oversee data access and task execution across materials management, point of use, patient charge labeling, linen management, package tracking, institutional mail, and other systems.
• Verify inventory against physical counts and address discrepancies.
• Direct proper storage, labeling, and organization of all supplies and equipment.
• Inspect stock for wear, defects, or expiration; document and report issues.
• Oversee unloading, breakdown, labeling, and distribution of incoming materials.
• Ensure accurate receipt and documentation of all inbound supplies, linen, and equipment.
• Maintain and review issue/receipt records, quality assurance documentation, and safety compliance logs.
Materials Handling, Equipment & Logistics
• Supervise routine maintenance and inspections of materials handling equipment.
• Maintain tools, equipment, and storage areas for safety compliance.
• Assist in coordination of vehicle maintenance and repair.
• Oversee preparation and accuracy of emergency carts and required checks.
• Drive scheduled and unscheduled delivery routes; maintain driver logs and fuel documentation.
• Support receiving, inspecting, storing, and issuing capital, controlled, salvage, and surplus equipment.
• Manage online auction inspections, buyer supervision, and removal processes.
Customer Service, Collaboration & Communication
• Represent the department in collaboration with clinical, research, supply chain, OR, and administrative stakeholders.
• Identify customer concerns, provide rapid response, and facilitate issue resolution.
• Participate in committees, process improvement teams, and special projects.
• Coordinate with vendors and departmental leadership to optimize materials processes.
Staff Leadership, Training & Administration
• Conduct performance reviews and monitor staff attendance and clocking accuracy.
• Perform quality checks to assess competencies and operational efficiency.
• Enforce institutional and departmental policies and procedures.
• Manage budget-related responsibilities and corrective actions as needed.
• Oversee orientation, in-service training, and documentation of staff competency.
• Maintain evidence of training and education in compliance with institutional requirements.
• Conduct staff meetings and participate in customer service rounding.
• Ensure adequate staffing and training coverage.
• Assume on call responsibilities as required.
Data & Systems Management
• Oversee records for inventory, acquisitions, transfers, and chain of custody.
• Supervise clerical processing of receipts, transfers, and data entry.
• Serve as backup for order placement and inventory management operations.
• Direct the use of stationery and portable technology including RFID systems for asset tracking.
• Generate monthly and ad hoc management reports with productivity and process improvement analyses.
• Supervise maintenance and accuracy of computer based asset registries.
EDUCATION
- Required: High School Diploma or Equivalent
- Preferred: Associate's Degree or
- Preferred: Bachelor's Degree
WORK EXPERIENCE
- Required: 5 years Inventory, logistics or a related field to include two years of team lead/supervisory experience. or
- Required: 3 years Inventory, logistics, or related field to include two years of team lead/supervisory experience with Associate's degree. or
- Required: 1 year Inventory, logistics, or a related field to include one year of team lead/supervisory experience with Bachelor's degree.
- May substitute years of required experience to include two years of team lead/supervisory experience.
- Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
