The Program Coordinator spends the majority of time on project coordination and related functions often of a confidential nature requiring considerable exercise of independent judgment, initiative, and advance knowledge of institutional administrative policies and procedures.  This position assists the Admin Director in support of the Center for Data Management Coordination (CDMC). Carries-out moderately complex special assignments or projects.

The Program Coordinator must have excellent detail orientation, good written and verbal communication skills, and excellent interpersonal skills.  The Program Coordinator must use independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on past experience and department practice.  The Coordinator must keep accurate records of all deadlines and status of progress toward same and keep management informed of issues.


Function as the administrative contact for various CPDPC scientific working groups or projects when needed. This includes taking accurate minutes for multiple conference calls and meetings, creating or distributing meeting agendas, distributing the call materials, and following-up with individuals regarding action items.

Keep study website content current.

Coordinate Institutional Review Board materials.

Assist in preparing special and recurring reports, including annual progress reports and Data Safety Monitoring Board reports.

Track and review invoices for CPDPC studies

Prepare/track/ship labels for consortium studies

Assist in biannual in-person meeting logistics and coordination, including facilitating hotel contracts, working with host site on meeting room needs, and creating and finalizing meeting materials. This may include travel to off-site meetings.

Function as point of contact for the CPDPC e-mail inbox and phone line.

Serves as point of contact for consortium sites/collaborators

Assists in site audits/visits as needed, as well as document preparation.

Maintain updated policies and procedures manuals.

Assist in drafting of protocols and documents as needed for CPDPC working groups/committees.

Assist in the development of study materials, reports, and newsletters for the consortium.

Carry-out moderately complex special assignments or projects.

Work with outside investigators in tracking milestones and progress of individual or collaborative projects.

Perform other responsibilities as assigned, including those for other CGCED-DMCC projects.

Physical Demands

Indicate the time required to do each of the following physical demands:



Required: Bachelor's degree in Business Administration or related field. 

Preferred: Master's degree.  


Required: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.

Preferred: Strong communication skills, previous experience working in a collaborative team environment. 

Must be proficient in Excel.  Experience IRB protocol submission.
