Program Manager - Academic Mentoring Program
SUMMARY
The primary purpose of the Program Manager position is to independently manage and oversee the Academic Mentoring Program, providing strategic leadership and direction for the program’s growth and success. This role requires the exercise of independent judgment, decision-making, and a high level of accountability in developing and executing mentoring resources for faculty and trainees. The Program Manager will be responsible for coordinating mentoring initiatives, managing special projects, and ensuring alignment with institutional goals, particularly in supporting early-stage and mid-career faculty through the promotion and tenure process. This position will work closely with academic stakeholders and leadership to drive the program’s continued effectiveness and evolution.
Program Manager – Academic Mentoring Program opportunity. The ideal candidate is an experienced program manager with a background in academic or research settings, skilled in overseeing faculty development programs and supporting faculty through promotion and tenure. They are organized, data-driven, collaborative, and adept at managing budgets, events, and stakeholder relationships. Can communicate effectively, both verbally and in writing, with leaders at various levels. Innovative, proactive, and committed to advancing a supportive mentoring environment aligned with institutional goals.
Experience managing programs in academic and/or research settings, along with proficiency in REDCap, Qualtrics, or other data collection and survey tools, is preferred.
Program Management- 60%
- Solely manages the Academic Mentoring Program (AMP), providing strategic direction, administration, and oversight of all program initiatives.
- Leads the development, implementation, and evaluation of mentoring resources and activities designed to support early-stage and mid-career faculty through the promotion and tenure process.
- Collaborates with academic leadership to ensure the program aligns with institutional goals and addresses the evolving needs of faculty and trainees.
- Oversees the overall program budget, ensuring that resources are allocated effectively and in alignment with AMP's objectives.
- Monitors the success of the program, utilizing data and feedback to make informed decisions and drive continuous improvement.
Program Evaluation and Development- 25%
- Directs and develops program evaluation activities, ensuring ongoing assessment of AMP's effectiveness and impact on faculty and trainees.
- Utilizes program data to generate regular reports for leadership, including updates on participation, program outcomes, and opportunities for improvement.
- Identifies and implements innovative mentoring strategies and resources from leading academic institutions, ensuring AMP remains cutting-edge and responsive to faculty needs.
- Leads the process of refining and enhancing mentoring resources to ensure accessibility and relevance to the faculty population.
- Collaborates with other departments and institutions to explore new mentoring opportunities and build effective partnerships to expand AMP’s reach.
Event Coordination and Stakeholder Engagement- 10%
- Oversees the coordination of key AMP events, including educational series, webinars, workshops, and special training sessions, ensuring that they align with program goals and objectives.
- Guides the development and execution of program promotions and advertising strategies, working closely with marketing and communications teams to ensure consistent messaging.
- Leads the planning and execution of events, ensuring the coordination of logistics, including venue selection, technical support, catering, and materials preparation, while delegating day-to-day tasks to support staff.
- Maintains relationships with key internal and external stakeholders, including faculty, trainees, division heads, and academic leadership, to ensure AMP’s initiatives are supported and aligned with institutional needs.
- Serves as the primary point of contact for AMP-related inquiries and program-related communication within the institution.
Administrative and Financial Support- 5%
- Oversees financial and administrative processes related to AMP, including the management of the program's budget and ensuring compliance with institutional policies and procedures.
- Provides oversight of financial transactions related to AMP, ensuring proper documentation for expenses, reimbursements, and procurement requests.
- Develops, reviews, and maintains program-related documentation, including program reports, presentations, and other materials for leadership and institutional stakeholders.
- Ensures timely and accurate tracking of program expenditures, working closely with financial and administrative teams to manage resources efficiently for awards, etc..
- Coordinates travel arrangements/reimbursement for staff and guests for AMP-related events, ensuring compliance with institutional and departmental travel policies.
Other duties as assigned – 5%
EDUCATION
Required: Bachelor’s degree
Preferred: Master’s degree
EXPERIENCE
Required: Five years related experience to include three years program management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience.
Preferred: Experience managing programs in academic and/or research settings, along with proficiency in REDCap, Qualtrics, or other data collection and survey tools, is preferred.
