The Division of Cancer Medicine is seeking a dynamic and experienced professional to lead and oversee both research program activities within the Division and fellowship research programs within the Hematology/Oncology Fellowship program. This role is pivotal in advancing the academic and research mission of the division by supporting research program activities and data analytics, as well as providing strategic oversight of fellowship research activities and grant administration.  The position will serve as the primary resource for research data management and reporting, while also designing and delivering comprehensive training programs on grant writing and submission for fellows and faculty. The ideal candidate will combine strong leadership skills with deep expertise in grant processes and a solid scientific background to foster innovation and excellence in research education. KEY FUNCTIONS

 

Leadership and Oversight of Fellowship Research Programs 

 

Lead and oversee the comprehensive instruction and training series for Hematology Oncology fellows, including the Introduction to Research Series for first-year fellows and the Research Curriculum Series for second- and third-year fellows. 

 

Strategically manage collaboration between the Division of Cancer Medicine (DoCM) Research Program and the Hematology/Oncology Fellowship Program, facilitating coordination of T32 trainee meetings, fellow/mentor research engagements, and grant application processes. 

 

Direct the design, coordination, and delivery of fellow research project development and grant writing classes, ensuring quality and relevance to evolving program goals. 

 

Provide guidance and oversight to fellows in developing research project ideas, preparing grant applications, and navigating submission procedures via internal and external funding platforms. Review grant drafts and manage related administrative tasks, including salary waiver submissions. 

 

Coordinate post-award training and informational sessions for fellows receiving grants, collaborating closely with the Fellowship group to support their continued development. 

 

Oversee the organization of fellow presentations at DoCM Grand Rounds, partnering with the Fellowship Director to select presenters, plan rehearsal sessions, and ensure high-quality delivery. 

 

Provide coordination and administrative support for the Advanced Scholar program, facilitating program activities and event planning. 

 

 

 

Data Collection, Management and Reporting 

 

Supervise the collection, tracking, and organization of research program data, files, and documentation essential for DoCM presentations and reports, including the State of the Division Address and various research curricula. 

 

Oversee the validation and synthesis of DoCM publications and major conference (AACR, ASH, ASCO) presentation data, ensuring accuracy and timely dissemination to stakeholders as requested. 

 

Support DoCM Grand Round presentations by providing accurate, timely data and validating scholarly output for major conferences such as AACR, ASCO, and ASH. 

 

Maintain and analyze quarterly productivity reports on new grants, high-impact publications, faculty honors, and related events, integrating data from multiple sources to inform leadership decisions. 

 

 

Management of T32 Grant Program 

 

Assist the PI in preparing, writing, and submitting the T32 grant application, ensuring compliance with funding agency requirements. 

 

Manage the ongoing administration of the T32 grant fellows program, including coordination of activities, trainee tracking, and data maintenance. 

 

Prepare and submit the annual T32 progress report in collaboration with trainees to summarize their project advancements. This includes conducting comprehensive PubMed searches for current and former trainees to identify recent publications citing the T32 grant, ensuring these are accurately incorporated into the primary T32 PI’s bibliography on the MyNCBI platform. 

 

Oversee the appointment and termination of T32 grant trainees annually in coordination with the primary Principal Investigator (PI). 

 

Maintain comprehensive databases on trainee activities, publications, and grant citations, conducting thorough searches across NIH, DoD, CPRIT, and internal faculty records. 

 

Coordinate and facilitate administrative, steering, and External Advisory Board committee meetings, preparing agendas and minutes to support effective governance. 

 

Lead planning and execution of the annual T32 Research Symposium, providing mentorship and support to trainees in preparing presentations, including rehearsal sessions. 

 

 

 

Grant Support and Training 

 

Provide oversight and expert guidance on grant submissions for faculty and fellows across the Division of Cancer Medicine (DoCM), as well as for collaborators in other departments as needed. 

 

Design, implement, and lead training programs for faculty, trainees, and staff on grant preparation, documentation standards, compliance reporting, NIH policies, and submission protocols, including those required by PubMed Central and other federally mandated repositories. 

 

Ensure accuracy, completeness, and compliance across all grant-related activities by implementing quality control procedures and staying current with institutional and sponsor-specific regulations. 

 

Manage the full lifecycle of grant and contract processes—including proposal development, internal review, budget preparation, contract negotiation, submission, activation, reporting, and closeout—ensuring alignment with institutional, state, federal, and sponsor-specific requirements. 

 

Collaborate with faculty to develop and review grant budgets, subcontracts, and associated agreements prior to routing through the Office of Sponsored Programs (OSP) for institutional approval. 

 

Act as a subject matter expert on NIH and other funding agency guidelines, forms, and reporting requirements, serving as the go-to resource for faculty and staff navigating complex application and post-award procedures. 

 

Maintain up-to-date knowledge of evolving sponsor policies to effectively advise investigators during the planning and submission phases of grant applications. 

 

Facilitate knowledge-sharing by mentoring trainees and early-career faculty through open forums, one-on-one sessions, and workshops focused on grant development best practices and recent updates in research administration. 

 

Serve as the primary liaison between the department and institutional offices such as OSP, Grants and Contracts Administration (GCA), and Legal Services to coordinate submission, negotiation, post-award management, and closeout of grants and contracts. Foster strong, collaborative relationships with these key administrative partners. 

 

Serve as the designated grant support lead for DoCM departments when grant program managers are unavailable, providing coverage and continuity at the direction of leadership. 

EDUCATION

Required: Bachelor's degree.

Preferred: Master's degree in an area of science is a plus.

 

EXPERIENCE

Required: Five years of related experience to include three years program management or three years of related experience to include three years program management with a Master's degree.

Preferred: The successful candidate will possess proven expertise in grant submission and administration, including pre- and post-award processes, compliance, and reporting. They should have a strong scientific background in biomedical or clinical research to effectively guide fellows in project development and scholarly activities. Additionally, the candidate must demonstrate the ability to design and deliver courses on grant writing and submission while mentoring fellows and faculty in research best practices. Advanced skills in data collection, validation, and analysis are essential to support program evaluation, productivity reporting, and strategic decision-making. Exceptional organizational and interpersonal abilities are required to manage complex programs, coordinate with multiple stakeholders, and lead initiatives such as T32 grant administration and fellowship research curricula. Finally, familiarity with NIH and other funding agency guidelines, institutional policies, and compliance standards is critical for success in this role.
