Senior Administrative Assistant
The Environmental Health and Safety, Sustainability, and Emergency Management (EHSSEM) at MD Anderson Cancer Center plays a vital role in maintaining a safe, sustainable, and resilient institution. The department oversees a broad range of essential programs, including safety training, environmental stewardship and recycling initiatives, medical and solid waste management, laboratory and occupational health safety, fire and construction safety, and compliance with Joint Commission emergency and continuity planning standards. EHSSEM also manages building systems to ensure a secure and efficient campus environment.

The ideal Senior Administrative Assistant candidate for EHSSEM-FLS will possess advanced proficiency in the Microsoft 365 Suite, with a preference for Power BI skills. They should have a solid understanding of budgeting and forecasting processes, excellent customer service abilities, and advanced general administrative support experience.
Schedule: Flexible; typically 7:00a.m. - 3:30 p.m. position. The role will be onsite for the first three months for training and integration, followed by a hybrid work schedule thereafter.
Salary range: $45,500.00 - $57,000.00 - $68,500.00
KEY FUNCTIONS
Administrative Support
Provides comprehensive administrative support to the Directors and Managers within Occupational Health and Safety and Warehouse operations. Coordinates meetings, special projects, and departmental events, including scheduling, materials preparation, and follow-up documentation. Manages calendars, correspondence, and confidential records while ensuring accuracy and professionalism. Serves as the departmental content manager, maintaining up-to-date information and resources on internal portals.
Financial and Budget Coordination
Monitors and reconciles departmental budgets, purchase requisitions, and ProCard transactions in compliance with institutional policies. Assists with budget preparation, travel and education requests, and financial reporting. Maintains accurate documentation and provides timely updates to leadership on financial activities and discrepancies.
Operations and Support
Supports departmental asset management, inventory, and equipment tracking. Serves as a backup to administrative support staff in Environmental Health & Safety, assisting with phones, mail, and office logistics. Ensures completion of all mandatory training and participates in professional development to enhance job performance. Performs additional duties and special projects assigned.
EDUCATION
Required: High School Diploma or Equivalent
Preferred: Bachelor's Degree
EXPERIENCE
Required: Five years Administrative/secretarial experience. or three years required experience with Associate's degree. or One year Required experience with Bachelor's degree.
Preferred: Microsoft office 365 suite with knowledge of Power BI.
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
