The Senior Administrative Assistant will provide high-level administrative support to executives and managers within the Endoscopy Center. This role is critical to ensuring smooth operations in a fast-paced, patient-focused environment. You will perform complex administrative and secretarial duties that directly impact departmental efficiency and productivity.

The ideal candidate brings preferred experience working in a procedural area, experience with project management, and a degree, supported by advanced administrative skills and strong technical abilities in Excel, PowerPoint, Kronos, Concur, Epic, and scheduling coordination, with additional value through Power BI certification and familiarity with AI tools.

Key Responsibilities
Administrative
• Provide administrative support for executives/managers, including special events, projects, presentations, and communications.
• Maintain departmental leave calendars, Outlook mail groups, employee lists, and conference room schedules.
• Review policies and procedures to ensure compliance with institutional and regulatory requirements.
• Serve as point of contact for problem resolution, ensuring service excellence and customer satisfaction.
• Organize correspondence by priority, exercising discretion in preparing documentation for immediate action.
• Coordinate logistics with internal and external parties to initiate, execute, and conclude projects.
• Manage equipment requests (pagers, iPhones, etc.) for managers and staff.
• Uphold confidentiality and security standards in all activities.
Financial
• Serve as departmental purchaser; maintain par levels for office supplies and catering supplies.
• Process minor purchases using Resource One system and arrange shipments.
• Coordinate travel arrangements for executives, staff, consultants, and guests.
• Prepare and reconcile expense reports.
Personnel Management
• Maintain employee personnel files and compliance records in accordance with institutional and Joint Commission standards.
• Act as back-up Kronos timekeeper.
• Support HR activities, including onboarding and compliance tracking.
• Interpret institutional policies and procedures for staff.
Other duties as assigned
EDUCATION
- Required: High School Diploma or Equivalent
- Preferred: Associate's Degree or
- Preferred: Bachelor's Degree
WORK EXPERIENCE
- Required: 5 years Administrative/secretarial experience. or
- Required: 3 years Required experience with Associate's degree. or
- Required: 1 year Required experience with Bachelor's degree.
- Strongly Preferred: Kronos, Calendaring, Concur, Excel, PowerPoint, Power BI, and Meeting scheduling
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
