Senior Administrative Assistant - GU Radiation Oncology
The GU Radiation Oncology Department relies on the Senior Administrative Assistant to provide comprehensive support for faculty, staff, and program operations. The Senior Administrative Assistant plays a key role in documentation, scheduling, compliance, financial coordination, and administrative workflow that ensures smooth and efficient operations across the department. The ideal candidate for the Senior Administrative Assistant role brings preferred experience with Concur for travel booking and expense reconciliation, demonstrated skill in arranging complex travel itineraries, strong proficiency in managing high‑volume Outlook calendars, and the ability to provide consistent administrative support to multiple faculty members. Candidates with experience performing departmental timekeeping, coordinating schedules across clinical or academic environments, and supporting day‑to‑day operations in a fast‑paced setting will be especially well‑suited for this position.
Minimum $21.88 – Midpoint $27.40 – Maximum $32.93

Responsibilities
Documentation
• Process licensing applications and renewals
• Maintain Risk Management Education credits and track attendance for Quality Assurance and Planning clinic meetings
• Maintain documentation to ensure compliance with institutional, state, and board certifications
• Complete general assignments and projects related to department programs
• Create agendas, attend program meetings, and prepare information for review and dissemination
• Follow up with meeting attendees to ensure completion of action items
• Prepare minutes for meetings, conferences, and program activities
• Maintain faculty CVs, biosketches, and other support documents monthly
Calendar Management
• Maintain faculty and staff time off requests and clinic coverage through Kronos and Outlook
• Proactively manage faculty Outlook calendars
• Perform departmental timekeeping using Kronos
• Schedule meetings, classes, symposiums, and conferences
• Schedule seminars and workshops
• Coordinate institutional events, including announcing seminars, planning advertising, and arranging visitor travel
• Facilitate meetings as requested
Department Operations
• Support administrative efforts across department locations
• Complete projects assigned by the supervisor
• Attend and complete required educational courses
• Assist Operations Managers with faculty recruiting, credentialing, and other faculty actions
• Mentor new support staff during their initial six months
• Update the faculty and department website quarterly
Finance & Travel
• Coordinate financial and service arrangements
• Post and track PRS fiscal expenditures and reconcile monthly
• Monitor expenses to ensure cost centers remain within budget
• Process reimbursements and travel per funding source policy
• Schedule faculty travel and visitor or candidate recruitment travel
Business Development
• Assist with policy creation, training, research, and business management related to program coordination
• Perform additional duties as assigned
EDUCATION
- Required: High School Diploma or Equivalent
- Preferred: Associate's Degree or
- Preferred: Bachelor's Degree
WORK EXPERIENCE
- Required: 5 years Administrative/secretarial experience. or
- Required: 3 years Required experience with Associate's degree. or
- Required: 1 year Required experience with Bachelor's degree.
- Preferred: Experience working with Biosketches and other supporting documentations. MyNCBI skills are preferred
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
