MISSION STATEMENT

The Department of Cancer Systems Imaging (CSI) is a multidisciplinary research division within MD Anderson that advances the understanding, detection, and treatment of cancer through innovative imaging science. CSI brings together experts in biology, chemistry, engineering, physics, computational science, and clinical research to develop cutting edge imaging technologies and translate them into meaningful clinical applications.
 

The department focuses on:
•    Molecular and functional imaging to study cancer biology in real time
•    Development of new imaging probes, biomarkers, and analytical tools
•    Systems level approaches that integrate imaging, data science, and experimental research
•    Collaborative research across basic science, translational programs, and clinical departments
 

CSI supports a dynamic environment where discovery and innovation directly contribute to MD Anderson’s mission, providing faculty, trainees, and collaborators with world class imaging resources and scientific infrastructure.

Location / shift / hours:  Texas Medical Center / 8am – 5pm / 60% remote – 40% onsite


The idea candidate will have 5 years of experience in an administrative role in which you have supported multiple leaders.

Position Summary


The Sr. Administrative Assistant in the Department of Cancer Systems Imaging provides advanced administrative and operational support to assigned faculty while ensuring smooth coordination of departmental functions. This role manages a broad range of responsibilities including faculty support, timekeeping, travel coordination, expense processing, badge access, space surveys, visitor onboarding, and departmental communications.

Key Responsibilities

Faculty & Administrative Support
•    Provide comprehensive administrative support to assigned faculty.
•    Maintain and update faculty CVs (excluding grant sections).
•    Coordinate faculty and lab member travel through Concur.
•    Process expense reports in a timely and accurate manner.
•    Manage memberships and renewals for assigned faculty and lab personnel.
•    Schedule meetings, reserve rooms, and coordinate catering services.
 

Departmental Support
•    Maintain office supply inventory and coordinate orders.
•    Replenish departmental coffee supplies.
•    Manage departmental mail pickup and distribution.
•    Maintain an organized and professional departmental workspace.
•    Serve as point of contact for departmental copiers, printers, and fax machines; monitor maintenance needs.
•    Manage and distribute incoming deliveries.
•    Monitor and log suggestion box submissions weekly.
•    Track departmental mandatory training completion.
•    Serve as a designated Fire Marshal.
•    Provide backup support for the Departmental Forum Coordinator and office supply orders.
•    Contribute newsletter content as requested.
 

Additional Responsibilities
•    Support Kronos timekeeping for assigned faculty and staff.
•    Process Faculty Extramural Leave.
•    Coordinate OGTO submissions for visitors.
•    Oversee the Department Space Survey, Emergency Contact List, and badge access requests.
•    Perform other duties as assigned to advance department operations.

EDUCATION

  • Required: High School Diploma or Equivalent
  • Preferred: Associate's Degree or
  • Preferred: Bachelor's Degree

WORK EXPERIENCE

  • Required: 5 years Administrative/secretarial experience. or
  • Required: 3 years Required experience with Associate's degree. or
  • Required: 1 year Required experience with Bachelor's degree.

OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
