The primary purpose of the Coordinator, Work Control position is to provide customer service by communicating and coordinating information about personnel, material, and time to accomplish facility maintenance and project work on a priority basis.  Coordinates cost, work data, and project status among clients, contractors, Physical Plant, and other Facility Services departments.

Accepts requests for work or estimates and processes (which may include: plans, tracks, reports and follows up) the work or estimates. Audits work order files to ensure accurate completion and material/activity log information is being submitted. Initiates, expedites, coordinates, tracks, communicates and follows-up with clients and contractors about maintenance work and facility projects.


PM Program 

Assist in keeping accurate and up-to-date data in the Mainsaver System for Preventative Maintenance (PM) and/or Route Work Orders

• Use the Mainsaver (CMMS) System to generate preventive maintenance (PM) and/or Route work orders on a timely basis. Read, comprehend, and follow the Mainsaver Procedure Manual for all activities.
• Maintain accurate PM/Route information by creating and editing Mainsaver database records. Must be able to work well with technicians and supervisors and have a tenacious drive to update and maintain data integrity.
• Create new PMs and/or Routes, task sheets, and material requirements for all new facilities coming online.
• Work closely with supervisors and technicians to review equipment descriptions, PM/ Route frequencies, task requirements, materials, and asset information for uniformity, accuracy, and completion. Build, correlate and examine the PM / Route Master Schedule.
• Enter specific material information into the PM System so that items such as belts and filters are automatically ordered and available when needed to perform PM work. Monitor material usage to prevent overstocking of inventory.
• Maintain the various task documents to accurately reflect the work to be performed.
• Files all PM / Route documentation in an organized, systematic plan. Uses scanner to store records electronically. Close all completed PMs/Routes.


Work Order Documentation Maintain Proper Work Order Documentation

• Must have the capability to generate accurate and complete “A” type work orders, as well as PM related work.
• Scan and attach stock issue and purchase requisition (PR) documentation to the work orders they pertain to.
• Process stock issue and PR forms and enter costs into Mainsaver. Follow through in tracking parts, materials, and supplies to ensure any additional departmental needs are met.
• Perform audits on work order files to ensure accurate completion and material activity log information is being submitted. Determine job status of PR’s 30 days and beyond.
• Ensure accurate costs are charged to the correct company center(s) for “A” type work orders. Process the documentation to obtain and enter these charges.
• Perform several functions that require experience with the Lawson System. Assist in setting up new vendors. Handle Account Payable issues.


Support O&M 
Assist in Efficient O&M Operation

• Create and maintain accurate asset records for all equipment and facilities in Mainsaver. Build an asset hierarchy for the systems within all buildings.
• Follow-up with supervisors, technicians and WCCs to concentrate on scheduled work orders, due dates, schedule feasibility and backlog of work to be completed. Participate and contributes in weekly "A" work order review and scheduling meetings. Summarizes and analyzes backlog man hours for each shop, allowing for quicker response to customer requests and a shorter close-out time for “A” work orders
• Change the status of work orders when parts are ordered, and then again when they have been received.
• Utilize/Retrieve Various Work Order Management Reports
• Extract reports from the Mainsaver System at the request of the Supervisor and/or Physical Plant Manager. Watch the Key Performance Indicators (KPI’s) and advise on ways to improve performance.
• Originate Facilities and Client Reports utilizing Crystal Report writer, Microsoft Excel, etc. Create unique Crystal Reports to extract and present data as requested.

Required: Associate's degree or trade diploma/certificate. Two years of administrative or clerical experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. 

Must pass pre-employment skills test as required and administered by Human Resources.
